Microsoft Outlook's Copilot Email Coach is designed to attack this problem directly. Rather than just generating emails for you (which risks sounding generic), Copilot acts as an intelligent writing partner—helping you improve your own drafts, understand how they'll land emotionally, and communicate more effectively with every message you send.

What Copilot Can Do in Outlook in 2026

Outlook Copilot has expanded significantly since its initial rollout. Here is what's available to Microsoft 365 Business and Enterprise subscribers in 2026:

Draft with Copilot. Generate a full email draft from a brief prompt. Specify the recipient, purpose, and tone and Copilot writes the first draft.

Coaching by Copilot. Copilot analyzes your written email and gives feedback on tone, clarity, reader sentiment, and suggestions for improvement—before you hit Send.

Summarize Thread. Condense long email chains into a concise summary so you can get up to speed without reading 30 replies.

Suggested Replies. Copilot analyzes incoming emails and suggests short, contextually appropriate replies you can send with one click or expand into a full response.

Meeting Scheduler. Copilot can detect scheduling intent in emails and suggest times based on your calendar availability, inserting a booking link automatically.

How to Use Coaching by Copilot

The Email Coaching feature is one of the most underutilized but most valuable tools in Outlook Copilot. Here is how to access it:

Compose your email. Write your email draft normally in Outlook—New Outlook for Windows, Outlook for Mac, or Outlook on the web all support this feature.

Open the Copilot panel. Click the Copilot icon in the compose toolbar (it looks like the Copilot sparkle icon). If you don't see it, click the three-dot menu in the toolbar.

Select Coaching by Copilot. In the Copilot side panel that opens, choose "Coaching by Copilot." Copilot will immediately analyze your draft.

Review the feedback. Copilot provides a structured analysis covering: overall tone (too formal, too casual, aggressive, passive), clarity of the core message, and how the reader is likely to feel after reading it.

Apply suggestions. Accept individual suggestions directly or click "Regenerate" to get a fully revised version of your email incorporating all the feedback.

Send with confidence. Once you're happy with the result, close the Copilot panel and send your email.

Using Draft with Copilot for Fast Email Creation

When you need to write an email from scratch, Draft with Copilot saves you from staring at a blank page:

Start a new email. Click New Email or Reply and then click the Copilot icon > Draft with Copilot.

Enter your prompt. Describe what you want the email to say. For example: "Email to the marketing team reminding them that the campaign brief is due Friday and that missing the deadline will push back the launch date by two weeks. Keep it firm but supportive."

Choose length and tone. Select from options including short/medium/long and formal/casual/direct. These options affect the style of the generated draft.

Refine and personalize. Always read the generated draft carefully and add your personal voice before sending. AI-generated emails benefit from a human touch to avoid sounding impersonal.

Summarizing Long Email Threads

Long email threads are a productivity killer. When you return from a meeting or a vacation to find a chain of 40+ emails, catching up can take half an hour. Copilot's thread summarization reduces that to 30 seconds.

Open the thread. Select the email thread in your inbox.

Click Summarize. At the top of the email thread, click the "Summarize" button (the Copilot sparkle icon with a summary label). In the new Outlook, this appears at the top of the reading pane.

Read the summary. Copilot presents a concise bullet-point summary of the thread, key decisions made, open questions, and any action items assigned to you. Click "Show more" to see deeper analysis.

Privacy Considerations

A common concern is whether Copilot reads and stores your emails. Microsoft's commitment with Microsoft 365 Copilot is that your data is not used to train AI models, and your email content stays within your organization's Microsoft 365 tenant. Copilot accesses your emails only in real-time to provide the requested assistance—it does not permanently read or store your message content beyond what is needed for the immediate task.

Check with your IT administrator if your organization has specific policies about Copilot use, as some enterprises choose to restrict certain features.
