How to Access Outlook Calendar Copilot

Outlook Calendar Copilot is available in:

One of the most valuable features for productivity is Copilot's ability to automatically block focus time on your behalf. Before any meeting, Copilot can generate a contextual briefing that pulls together everything you need to know:

The meeting agenda (extracted from the invite and email thread)

Relevant emails and documents shared with the attendees recently

To trigger a briefing, open the meeting event in Outlook and click the Copilot icon inside the event detail view. Copilot presents a concise summary — typically a 2-3 minute read — that prepares you fully without requiring you to hunt through email threads or dig up old meeting notes.

4. Reduce Meeting Overload with Schedule Analytics

Copilot can audit your calendar and provide a meeting health report:

Open the Copilot pane and type: "Analyse my calendar for the past month."

Copilot summarises total meeting hours, meeting types, back-to-back meetings, and time without breaks.

It identifies specific recurring meetings that may no longer be necessary and suggests which ones to shorten, combine, or cancel.

This is particularly useful during quarterly planning periods when you want to reset your meeting cadence and recover productive time.

5. Suggest Follow-Up Actions After Meetings

It automatically suggests the optimal time slots from your availability, sends a polished poll to all recipients, and confirms the meeting automatically once a majority votes for a time — all without you needing to follow up manually.

Calendar Copilot Tips for Power Users

Tell Copilot your preferred working hours: "I prefer to end meetings by 4 PM." It will honour this when suggesting times.

Ask it to "Clean up my calendar this week" and it will suggest declining or shortening low-priority meetings.

Use the "Prepare for my day" prompt each morning to get a Copilot briefing on your full day's schedule.

Connect your calendar to Microsoft To Do so action items from meeting briefings become trackable tasks automatically.
