Teams Live Translation and Real-Time Captions in 2026: Run Multilingual Meetings Without Missing a Word

Global teams in 2026 don't have the luxury of speaking one language. Microsoft Teams now offers real-time spoken language translation and live captions in over 40 languages — built directly into the meeting interface. Whether you're presenting to an international client or running an all-hands with offices across four continents, here's how to use these features to their full potential.

What Teams Live Translation and Captions Actually Do

There are two related but distinct features here:

Live Captions: Real-time speech-to-text transcription displayed at the bottom of your meeting screen. Available in meetings and webinars with no add-on required for Microsoft 365 subscribers.

Spoken Language Translation (formerly Interpretation): Translates what's being said into your chosen language and displays it as captions in real time. This is the more powerful feature — it lets you follow a presentation in Spanish even if the presenter is speaking English.

Both are powered by Azure AI Speech, which has improved dramatically in accuracy since its 2024 launch.

Enabling Live Captions in a Meeting

Turning on live captions takes three clicks:

1. Join or start a Teams meeting2. Click the three-dot More menu in the meeting controls3. Select Turn on live captions

Captions appear at the bottom of the screen with speaker attribution (name: text). You can resize the caption bar by dragging the top edge.

Settings available:- Spoken language: tell Teams what language is being spoken so it transcribes more accurately- Caption font size: adjust under Accessibility settings- Show/hide captions: toggle at any point during the meeting

Captions are local to you — turning them on doesn't affect other participants.

Setting Up Spoken Language Translation

This is where Teams becomes truly multilingual. Here's how to configure it:

1. In the meeting controls → More → Language and speech → Turn on live captions2. Then select your preferred caption language from the dropdown — this is the language you want to READ, not the language being spoken3. Teams automatically detects the spoken language and translates to your selected caption language

Example: A French colleague presents in French. You select English as your caption language. You read English captions in real time while they speak French.

Supported languages for translation include English, Spanish, French, German, Japanese, Portuguese, Chinese (Simplified), Arabic, Italian, Korean, and over 30 more as of 2026.

Note: Teams Premium subscribers get access to additional translation languages and higher accuracy models.

Real-Time Captions in Teams Channels and Webinars

Live captions work beyond regular meetings:

Teams Webinars: Organizers can enable captions by default for all attendees. Go to the webinar setup → Meeting options → Enable live captions. Attendees can then toggle them individually.

Teams Town Halls: Live captions are available and can be set to auto-enable. For large events, consider enabling captions by default to improve accessibility for all attendees.

Channel meetings: Work identically to regular meetings. Captions are always participant-controlled.

Using Captions for Meeting Notes and Follow-Up

Live captions integrate with Teams' AI-powered meeting recap:

After the meeting, go to the Chat tab → Meeting recap → Transcript. The full transcript (in the spoken language) is available. If you had translation enabled, the translated captions are not saved — only the original spoken language transcript is stored.

Tip: Use Copilot's 'Summarize this meeting' after the fact to extract action items from the transcript regardless of what language it was recorded in. Copilot can summarize a French transcript into English action items automatically.

Accessibility Considerations for Captions

Live captions are essential accessibility tools, not just nice-to-have features:

For deaf and hard-of-hearing participants, always enable captions by default for meetings with broad audiences. Check 'Allow meeting chat' to ensure text-based participation is also available.

For ADHD and cognitive processing: captions help participants track conversation even in noisy environments or when focus drifts. Many users keep captions on even in their native language.

As a meeting organizer, set captions to auto-enable in recurring all-hands or department meetings via Meeting options → Automatically enable captions.

Tips for Best Caption Accuracy

Caption accuracy depends heavily on audio quality. To improve results:

– Use a headset microphone rather than a laptop's built-in mic- Speak at a measured pace, especially for technical terminology- Set the correct spoken language in settings before the meeting starts- Reduce background noise using Teams' built-in noise suppression (More → Audio settings → Noise suppression → High)- For proper nouns, acronyms, and product names, Teams Premium allows a custom vocabulary dictionary — set this up in the Teams admin centre before important presentations
