Word SmartArt in 2026: Create Professional Org Charts and Process Diagrams Without Design Skills

Not everyone has access to a graphic designer — or the time to open a dedicated diagramming tool every time they need a visual. Microsoft Word's SmartArt feature solves this problem by letting you create professional-looking org charts, process flows, cycle diagrams, relationship maps, and more, directly inside your document. In 2026, Word SmartArt has been improved with better Copilot integration, smarter layout suggestions, and enhanced theme compatibility.

What Is SmartArt?

SmartArt is a built-in Word feature that converts simple text lists into polished visual diagrams. Rather than manually drawing shapes and arrows, you type your content into a text pane, choose a layout category, and Word renders the diagram automatically. SmartArt diagrams fall into several categories: List, Process, Cycle, Hierarchy, Relationship, Matrix, Pyramid, and Picture.

How to Insert a SmartArt Graphic

Click in the document where you want the diagram to appear.

Go to the Insert tab on the ribbon.

Click SmartArt in the Illustrations group.

In the Choose a SmartArt Graphic dialog box, browse the categories in the left panel.

Click a layout to see a preview and description on the right.

Click OK to insert the diagram.

The diagram appears in your document with a text pane on the left where you enter content. Type directly into the text pane and the diagram updates in real time.

Building an Org Chart

Org charts are one of the most popular SmartArt use cases. To create one in Word:

Insert SmartArt and choose the Hierarchy category.

Select Org Chart.

In the text pane, type the top-level person or role in the first line.

Press Tab to indent and create a subordinate under the top level.

Continue tabbing to add sub-levels and pressing Enter to add peers at the same level.

Press Shift+Tab to move an item up a level.

You can also right-click any shape in the diagram to add a subordinate, coworker, or assistant directly from the context menu. On the SmartArt Design tab, click Layout to change the hierarchy to Left Hanging, Right Hanging, or Both.

Creating a Process Flow Diagram

For step-by-step processes, the Process category is your best option. The Basic Chevron Process or Continuous Block Process layouts work well for most workflows.

Insert SmartArt and choose the Process category.

Select a layout such as Basic Chevron Process.

In the text pane, type each step on a separate line.

Press Enter to add more steps — the diagram expands automatically.

The arrow-shaped chevrons visually reinforce the idea of sequential flow, making process diagrams instantly intuitive to readers.

Formatting and Customizing SmartArt

Changing the Colour Scheme

Select the SmartArt diagram and go to the SmartArt Design tab. Click Change Colors and choose from a range of colourful, gradient, or monochrome themes tied to the document theme.

Applying a SmartArt Style

Browse the SmartArt Styles gallery on the SmartArt Design tab. Styles add shadows, glows, or three-dimensional effects. For professional documents, the Subtle Effect or Moderate Effect styles look clean and modern.

Resizing and Moving the Diagram

Click the SmartArt frame to select it, then drag corner handles to resize and the frame itself to reposition. If text gets too small after resizing, shorten your labels in the text pane.

Changing Individual Shape Colours

Right-click any individual shape within the SmartArt and choose Format Shape to apply a custom fill colour, border, or effect to that specific box. This is useful for highlighting the CEO role in an org chart or marking a completed step in a process flow.

Adding Pictures to SmartArt

The Picture category of SmartArt supports embedded images, perfect for team directories, product comparisons, or visual processes.

Insert SmartArt and choose a Picture category layout, such as Vertical Picture Accent List.

Click the picture icon in each shape to browse for and insert an image.

Type the label or description in the text pane beside each image.

Word resizes and crops images automatically to fit the shape, maintaining a consistent, professional layout.

Converting Text to SmartArt

If you already have a bulleted list in your document and want to turn it into a diagram, Word can do this automatically:

Select the bulleted list text.

Right-click and choose Convert to SmartArt.

Browse the layouts and click one to apply.

This is a huge time-saver when you already have content written out and want to give it visual impact.

Copilot and SmartArt in 2026

In 2026, Microsoft Copilot in Word can suggest SmartArt based on document context. When you select a paragraph describing a process or a list of roles, Copilot may offer to visualize it. Click the Copilot icon in the margin and choose Suggest a diagram, or prompt Copilot directly: select text and type Create a SmartArt org chart from this list.

When to Use SmartArt vs. Other Tools

SmartArt is ideal for simple, one-page diagrams embedded in Word documents. For more complex flowcharts with multiple decision branches, consider Microsoft Visio or the Draw.io integration available in Microsoft 365. For diagrams that will be reused in presentations, PowerPoint's SmartArt works the same way and offers better animation options.
